This section describes the steps involved in uploading a fee file to the database.
The Fee Upload Page Layout
The Upload Fees page contains two elements, the Upload Fee form and the Load History table.
The Upload Fee form contains a Browse button and an Upload Fees button. Clicking the Browse button allows you to navigate your file system for the .csv fee file you wish to upload. The Upload Fees button invokes the process of uploading the file, formatting it and committing it to the database.
The Load History table on this page is read only (notice the radio buttons for selecting a fee are not displayed) and its purpose is to display a list of fee files currently in the database.
Uploading a Fee
To upload a fee:
- Click the Browse button and navigate your file system to for the .csv fee file you want to upload and select it.
- Click the Upload Fee button. If the file upload is not successful an error message will be displayed.

Structure of the Fees Schedule Excel Spreadsheet
The structure of the Fees Schedule spreadsheet needs to comply with the standards determined by the NZIS Finance Section. For clarification on the structure please contact the Finance Section.
An example of a compliant spreadsheet is illustrated below (please note that not all visa/permit are illustrated).
Converting spread sheet to CSV
In order to upload the spreadsheet to the database the spreadsheet needs to be converted to a CSV (comma separated values) file first.
To convert the spreadsheet to a CSV file:
- Open the Fees Schedule spreadsheet with Excel.
- Click on File in the top menu and select Save As. This opens the Save As dialog box.
- From the Save As dialog browse to the folder you want to save the file to. Select CSV (Comma delimited) from the drop down menu.
- Click Save.
Errors associated with the Fee Schedule
Missing Visa/Permits or Inconsistent Naming
If the Fees Schedule doesn’t include visa/permits that currently exist in the database or are named differently the application will display the following error message.
"Visa/Permit column: Name of visa/permit is expected but not found in given file. Please check file or visa/permit upload description.”
To resolve this problem check the visa/permit name in the Fees Schedule matches the Upload Description for the visa/permit type in the application.
If a visa/permit is missing from the Fees Schedule contact the Finance Section for advice.
Invalid File Format
If the file uploaded is not a valid fees file the application will display an error message.
To resolve this issue make sure you are uploading a valid Fees Schedule in CSV format.

Check to see you do not have TWO countries the same e.g. 2 Washingtons
No fees uploaded
From time to time Finance do change things in the spreadsheet they should not e.g.
band 1 to Band A (should be Band 1, 2 and 3).
band 1 to Band 1 (it is case sensitive - should be little 'b')
